Photos & Video Footage

A member’s photo is attached to their personal profile, and its primary use is to identify the member within the facility. There is constant closed-circuit video surveillance (CCTV) within our premises for the purpose of safety and protection of the members, guests, staff, equipment, and facilities. Video footage may be reviewed and recorded by staff if required to address safety concerns. Member photos and/or video footage of members or guests will not be used or disclosed for any other purposes without consent, except in exceptional cases when disclosure may be required by law, is necessary to protect the rights or property of Affordable Fitness, or to lessen a serious threat to a person’s health or safety.

Health and Sensitive Information

As a fitness provider, we collect health information that is reasonably necessary to provide our services safely and effectively, including:

Our primary Member Portal, Member Booking App, and Gym Management platform software is GymMaster (a Treshna product owned by Treshna Enterprises Ltd). All gym check-ins, medical questionnaires, and user account actions interact with this database system. Security of Personal Information

We execute robust administrative, technical, and physical safeguards to defend your personal information against misuse, loss, interference, unauthorized access, or modification.

Digital assets are shielded behind firewalls, data paths utilize encryption where appropriate, and user passwords are non-reversibly encrypted. Physical copies of paperwork are held in secure, restricted-access storage locations. Because no internet transmission platform can be guaranteed as 100% immune, members remain fully responsible for keeping their digital application login credentials completely confidential.

Data Retention and Destruction

We only retain personal and sensitive information for as long as required to deliver our health services, fulfill explicit business operations, resolve legal disputes, or satisfy mandatory statutory record-keeping frameworks under Australian law.

Our standard retention and disposal policies include:

  • Active Membership Data: Retained for the full lifespan of your active enrollment with us.

  • Post-Membership & Financial Records: Retained for a standard period of 7 years following membership cancellation to comply with Australian corporations and taxation laws.

  • Sensitive Health Assessments: Pre-Activity Questionnaires and medical notes are safely archived for 7 years from the date of your last interaction to satisfy regulatory health legislation and insurance liabilities.

  • CCTV Surveillance Footage: Video files recorded at our club are automatically overwritten on a rolling cycle every 30 days, unless pinned longer due to an ongoing security event investigation.

  • Unfinalized Enquiries: Digital contact forms or general prospective emails are purged after 12 months if no gym contract is finalized.

When information passes these legal timeframes, it is permanently de-identified or securely destroyed.

Access, Correction, and Your Rights

You possess an absolute right to request an official copy of the personal information we hold about you, or to demand immediate corrections if you find the records are inaccurate, incomplete, outdated, or misleading.
